Keep the Master Document Register updated, recording each file’s version, date, and status.
Follow the company’s file naming rules and folder structure for all projects.
Update the document status in ClickUp daily (e.g., Draft, Submitted, Approved, Closed).
Check the project checklist against saved files and report any missing documents immediately.
Follow up with team members to collect missing signatures, photos, reports, or approvals.
Check documents to make sure they follow company formatting, layout, and required clauses.
Do a weekly check to ensure digital files match the records in ClickUp.
Handle proper digital handover of files and keep clear records when projects are transferred or closed.
Prepare a short weekly report showing pending, overdue, and completed documents.
Organize and file both new and completed project documents, including hardcopy files.
Follow the Principal Surveyor/Assistant Project Manager to attend site visits (not more than twice a week) when needed to verify documents, site records, and photos.
Requirements
Strong attention to detail and organisational skills
Familiarity with Microsoft 365 and digital filing systems
